Job Summary:

Responsible for overseeing all aspects of the President's office, managing priorities and professionally representing the office, both internally and externally. Coordinate meetings and travel schedules, prepare senior executive meetings, managing sensitive legal and financial information. Organize and manage events.


Essential/Key Functions:

  • Prepare and brief the President for meetings, presentations and speeches by coordinating with staff on needed research, reports and presentation materials as needed.
  • Attend meetings as needed with President and act as proxy as needed. Ensure President's priorities are represented and addressed.
  • Maintain President's calendar and computer data. Draft correspondence for President and senior leadership in accordance with oral/written instruction.
  • Carry out researches for President on multiple subject matters and compose drafts of presentations, correspondence, graphs, etc.
  • Coordinate scheduling and planning of all facets for off-site annual strategic meeting for leadership across all product lines.
  • Manage and maintain executives' schedules.
  • Coordinate travel arrangements for executives.
  • Prepare reports, memos, letters, expense reports and other documents, using word processing, spreadsheet, database, or presentation software.
  • Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping, to aid executives.
  • Prepare responses to correspondence containing routine inquiries.
  • Prepare agendas and make arrangements, such as coordinating catering for luncheons, for executive staff and other meetings.
  • Meet with individuals, special interest groups, and others on behalf of executives.
  • Prepare Ad hoc reports, schedules as necessary


Management Responsibilities:

  • Manages executive priorities ensuring that the priorities are in place and addressed.


Knowledge, Skills, Abilities, & Others:

  • Microsoft Office (Word, Excel, PowerPoint, etc).
  • Office Equipment (printers, phones, faxes, etc.)
  • Excellent communication skills, both written and verbal professional in demeanor.
  • Comprehensive problem solving skills.
  • Ability to build solid working relationships with external customers and with all levels of the organization.
  • Experience/knowledge working in ERP and CRM systems such as Oracle E1/ServiceMax.
  • Proven ability to meet deadlines and work under pressure.
  • Ability to work independently, prioritize workload, and perform functions sufficiently.
  • Ability to gather and analyze information.
  • Ability to maintain strict confidentiality.
Position Requirements

Minimum (Required) Qualifications:

  • Bachelor’s degree from accredited institution.
  • Minimum 7 – 10 years administrative experience.
